Job Description

Organisation Position and Purpose



The HR apprentice will support the department in delivering an excellent HR service to all our managers and employees. Our aim is to develop and deliver a high performing HR delivery service provision for the Institute that is aligned with our values, engages our people, enabling us to achieve our strategy and to be recognised as an employer of choice. The position will perform key duties as outlined below and will report to the People Services Manager.



Main Duties and Responsibility:



This job description is only an outline of the tasks, responsibilities and outcomes required of the role. The jobholder will carry out any other duties as may be reasonably required by his/her line manager. The job description and personal specification may be reviewed on an ongoing basis in accordance with the changing needs of The Pirbright Institute.



All employees shall actively participate in the Institute-wide quality assurance system in conjunction with the Institute’s Quality Manager. Employees are also expected to safeguard their own health and safety and security by following policies and all employees are responsible for the Health and Safety and security of staff under their management.

Specific Requirements




  • Assist in recruitment processes in accordance with the Institute procedures i.e. using our in-house recruitment portal, advertising roles, communicate with recruitment agencies if necessary, organise interviews, preparing interview packs, ensuring correct records are on file, provide feedback, maintain the recruitment tracker

  • Assist in the administration of HR processes relating to the employee lifecycle from onboarding to leavers, including payroll, ensuring processes and procedures are followed correctly

  • Assist with administration of the performance management process, keeping all records up to date

  • To check validity and chase right to work documentation for all new starters and current employees and to escalate to HR People Services Manager, if necessary

  • Handle enquiries relating to recruitment and new starters

  • Provide support to HR projects

  • Update and maintain our systems, e.g. SelectHR, Quality Management System (Q-pulse)

  • Provide support for the delivery of HR workshops

  • Provide support for organising Occupational Health clinics



Apprenticeship Programme



This apprenticeship role is delivered against apprenticeship standard ST0239 and successful completion will lead to a level three apprenticeship in HR support that includes the highly regarded CIPD Foundation Certificate in People Practice.



What does the apprenticeship cover?




  • The apprenticeship Standard is made up of Knowledge, Skills and Behaviours

  • Knowledge is delivered by our appointed and approved apprenticeship provider

  • Skills are taught within the work place



You will need to generate a portfolio of evidence to demonstrate the following skills:




  • Service delivery

  • Problem solving

  • Communication & interpersonal

  • Teamwork, process improvement

  • Managing hr information and personal development

  • You will be taught the expected behaviours for the industry and general employment

  • If you do not have a 4 or above (A*-C) GCSE or equivalent in English and maths, you will be required to study Functional Skills at Level 2

  • End point assessment is the final stage of your apprenticeship and you must pass this to achieve your apprenticeship. It is the chance to show the skills, knowledge and behaviours you have gained throughout your apprenticeship



(You will be allocated a work-based assessor to support you with this)
