Job Description

This is an exciting opportunity for an enthusiastic individual with excellent communication skills to join our administrate hubs to assist our growing Primary Care Community & Therapies Clinical Group which provides both inpatient, outpatient and community therapies, medical specialities and nursing in providing an effective and efficient comprehensive administrative service.



We have a full time post at our Therapy Admin Hub based at City Hospital.

You will provide an administrative service for the clinical services sending out appointment letters, registering patients to the service, answering telephone queries regarding appointments and other clerical duties to support the Service provided by the group. The successful candidate will need to be computer literate in order to use our automated appointment system.



You will be expected to take referral over the telephone and process according to the guidelines for the services.



The role expect you to provide a reception function at our Primary Care Assessment unit. You must be able to work under pressure as part of a team. You will require good interpersonal skills with the ability to prioritise their own workload.



There will be a requirement to learn the patient administration systems to work effectively within a paperless environment.



You will be expected to participate in the 3 shift pattern to provide administrative cover Mon – Fri 08:00 – 18:00 on a rota basis which means 8-4,9-5 10-6 shift cover each week along with weekend working to facilitate 7 day working.



The successful candidate will enhance our team by having the following experience and qualities;




  • GCE/GCSE English equivalent to a Grade C

  • Computer literate 

  • Excellent communication skill to deal with patients, colleagues and referring agents

  • Ability to prioritise own work and work under pressure with conflicting demands

  • Team player

Skills Required :

  • 12 months experience in an admin role required

  • Previous use of NHS/other patient administration system or similar data base systems an advantage



Written Skills:




  • Proficient in reading and writing and routine note/message taking

  • Able to follow written instruction

  • Computer literate



Communication and Verbal Skills:




  • Able to speak and receive instructions in English without the risk of misunderstanding 

  • Communication skills for customer facing work

  • Ability to communicate at all levels

  • Excellent listening skills

  • Be able to use a standard keyboard proficiently

  • Maintain a positive working environment

  • To be able to work as part of a multi-professional team

  • Work to deadlines and prioritise work accordingly

  • To be able to handle telephone enquiries, to take complex messages and in the redirection of calls

  • Advise and redirect enquiries to the relevant staff/team

  • Able to deal with several ongoing tasks

  • Excellent interpersonal skills

  • Good organisation skills
