Job Description

This role is designed to provide an Apprentice with a wide range of experiences and administration skills. You will learn and develop strong communication and administrative skills to support the team in delivering the day to day operational services, maintenance activities and safety within the hospice environment.



Duties will include:




  • Answering incoming calls to LOROS switchboard in a professional and timely manner and directing them to the correct person/department

  • To take telephone and other messages ensuring that these are communicated to the relevant members of staff in an accurate, efficient and effective manner

  • Sorting the incoming post into post trays and franking outgoing post

  • To answer the staff entrance/goods inwards door as first point of contact for contractors, couriers etc

  • Supporting the operations clerk with the management of the operations email inbox, checking regularly throughout the day and responding to, and forwarding where necessary emails received. Any reactive maintenance requests should be added to the reactive jobs spreadsheet and be printed off for the facilities team leader to allocate to a facilities officer. Once complete, update the spreadsheet and close the works request

  • Updating and maintaining accurate maintenance records and maintenance planner both paper and electronic, chasing paperwork, quotations as required

  • Arranging maintenance visits and emergency callouts by contractors as necessary, supporting the team with inducting new contractors to the site

  • To support the facilities team leader with any ad hoc admin tasks as requested

  • Updating asset lists with new equipment when we receive it and documenting when equipment is disposed

  • Using a variety of computer packages to support the work of the department including Word, PowerPoint, Excel, telephone switchboard

  • Various general administrative and housekeeping duties including ensuring travel and health and safety noticeboards information is up to date. Archiving visitor sign in sheet from main reception. Typing letters and documents, filing, photocopying, making signs

  • Supporting the HSE officer by arranging and serving the quarterly meetings and other administrative tasks

  • Prioritising work in liaison with the facilities & operations manager

  • Being ready for any other administrative tasks that are required by the executive members



We are looking for a capable and motivated individual who takes a great deal of pride in their work and demonstrates a ‘can do’ attitude towards their responsibilities.



The main duties and responsibilities are to assist the operations team with delivering the main switchboard service, and administratively provide support for planned and reactive maintenance, catering and hospitality services, IT, cleaning, security and health & safety to the Hospice.
