Job Description
The general administration duties within this role may include:
- Operating the Telephone system in a professional manner, filtering and assisting with calls across the business
- Sorting out the reception rota so that the phones/desk are covered during periods of absence
- Meeting and Greeting visitors ensuring they are issued with passes and offered refreshments
- Ensuring all meeting rooms are booked informing the host of any potential double bookings
- Keeping the rooms in a nice, clean and tidy condition before and after all meetings
- Liaising with IT for any visitor support that may be needed
- Ordering refreshments and lunches as requested
- Board Room – ensuring the room is tidy and clean and refreshments stocked
- Managing the booking of Company Cars and checking they are returned in good condition and with at least a quarter of a tank of petrol
- Reporting of any facility issues to Andrea cc IT
- Ordering and maintaining Stationery and consumables stocks – obtaining the best prices available to us
- General office duties to ensure that all sections of the building are presentable at all times including liaising with the housekeeper
- Capturing holiday requests and updating TMS to assist HR when needed
- Ad hoc projects as required to help the departments across the group

Skills Required :
- Experience gained preferably in the Energy Sector
- A good working knowledge of all Microsoft office applications and room booking/calendar systems
- Previous office experience and using a switchboard system if applicable
