Job Description

Duties and responsibilities will include:



Post:




  • Keeping post in/out log up to date

  • Scan daily post received to partners



Filing:




  • Filing will be minimal due to everything saved digitally



Clients:




  • Answering phones and taking messages

  • Booking appointments using shared calendars and inviting staff through SMS

  • Texting clients on various matters – chasing records, chasing signed Tax Returns, chasing signed accounts and confirming appointments

  • Typing of client correspondence using SPS letters

  • Binding business and rental accounts

  • Client VAT – assisting with the VAT team with client transactions

  • Recording incoming and outgoing client records



SPS – client database:




  • Maintaining client’s contact details

  • Updating attributes

  • Updating document links

  • Disengagement process under the supervision of Admin Manager issuing letters and completing SPS (date left)

  • Update disengagements in excel sheet for Partners

  • Move records to NLA on shared drive



Banking & finance:




  • Record cash, cheque and credit card receipts on Debt List and summaries

  • Credit card receipt copies to clients

  • Petty cash – in the absence of Practice Manager & Admin Manager

  • Practice supplier invoice postings

  • Client VAT records recording transaction

  • Take monies to bank when necessary

  • (Cheques under £1000 to be passed to DH/AB to update through mobile app)



Errands:



Post Office i.e. recorded delivery/special delivery etc./Going to shops if anything needed urgently – usually carried out to coincide with any bank duties.



Improvement of services:




  • Projects for improvements of internal processes welcome

  • Any ad-hoc tasks as instructed by the Partners or other members of the team

Order management, billing, reporting, researching, ordering and invoicing.



Future Prospects :

The Level 3 Apprenticeship in Business Administration is a valuable stepping stone to further study such as higher apprenticeships or to employment within a wide range of possible careers.
