Job Description

The successful candidate will join our small office of 7 employees, working within Romsey, Hampshire. The candidate will be working closely with our part-time Accounts Secretary, to support them with the administrative tasks.  



Your duties will include:




  • Handle telephone enquiries with efficiency, taking messages with accuracy, to communicate to the relevant individual

  • Greet clients, including offering refreshments

  • File information provided by the client, such as invoices, receipts, debit transactions and credit transactions, into the relevant system

  • Taking payments from clients, via PDQ, cheque or cash, and recording these payments in the relevant system

  • Maintain and update a client database to ensure that all contact details are up to date

  • Organise and distribute incoming and outgoing postage

  • Obtain client authorisation for the Company to act on their behalf using the Government Gateway portal

  • File confirmation statements on behalf of the client to Companies House

  • Assist in the preparation of typed accounts to be sent to the client

  • Support the Company with their social media presence, helping to communicate messages to clients using Facebook

  • Ensure that they adhere to all policies, procedures, and legislation, including, but not exclusive to, Anti-Money Laundering and GDPR



Moreover, a successful candidate will be required to maintain communication with the chartered accountant, and Director of the Company, who is not based within the office. The successful candidate should be able to use their own initiative, to complete tasks to the best of their ability, with the confidence to ask for assistance, where necessary.



In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time.

  • The ability to communicate with clarity and accuracy, in both written and spoken form
