Job Description

Purpose of role:

With mentoring support, to provide administration support to the business. Provide customers with a first class, professional experience whether on the phone or face to face. You will assist the Executive Assistant (AE) as required, meet and greet visitors, manage incoming and outgoing post, place stationery orders and manage stock, deal with phone enquiries and take messages. You will also assist the Student Accommodation Officer and other departments on an ad hoc basis.

Core Duties:

  • An integral role with the company, you will interact with all departments within Open Arch Properties Ltd

  • A general office position, however, you will work closely with the EA and Student Accommodation Officer

Core Duties:

  • Main switchboard, taking phone calls, messages and enquiries

  • Checking answer machine

  • Incoming and outgoing post

  • Stationery ordering and control

  • Reception duties

Also, if you have a flair for social media - opportunities to promote our portfolio property rentals to our customers.

Student Department: Assist the Student Accommodation Officer with:

  • Creating new student packs as required

  • Emailing tenancy offer letters out to students

  • Protecting and unprotecting student deposits and send certificate

  • Arranging key collections with students ahead of check-in

  • Updating current student packs with paperwork and archive historical information

  • Update tenant information onto the in-house CRM system

  • As your knowledge develops, there will be scope to increase assistance within this area
