Job Description
Summary of role:
To provide high quality, professional day-to-day administrative support for the business, including payroll, co-ordinating care visits and the accurate and timely maintenance of electronic and paper based records.
Role specifics:
- Maintenance of all records, files and data, in hard copy and electronically, including ensuring that all staff and client details held electronically are accurate and up to date
- Along with other members of the office team, provide support to the Manager, clients and homecare staff
- Assist with the daily planning and distribution of work to homecare staff
- Process timesheets and run staff payroll within specified deadlines
- Input personnel data, ensuring that staff records are kept up to date on the computer system
- Ensure staff timesheets and expenses accurately reflect the care and support duties carried out by each member of staff and alert the Registered Manager to any discrepancies
- Ensure that payslips are forwarded to homecare staff in a timely manner
- Ensure that systems are kept up-to-date, accurately recording and monitoring staff supervisions, spot checks, client assessments/reviews, holiday allocations and staff training
- Assist with disciplinary investigations & procedures
- The provision of services is paramount, and all members of staff may be called upon to provide care and support in extreme circumstances
- To hold the On-Call phone as required by the Registered Manager
- Flexibility to work across the Company
- Prepare and submit relevant Change of Circumstance Forms for Local Authority funded clients
- In addition to the duties and responsibilities listed above, the Administration Officer is required to perform other reasonable duties as assigned and directed by the Registered Manager, or Senior Management
