Job Description
Purpose & Scope of post;
- To work closely with the Office Administrator to fully support the Consultants of Claibon Recruitment to build existing contacts and establish new business leads
- Reporting to Team Leader/Administrator
Phone calls;
- Answer and field all incoming calls on main line as first point of contact and ensure all calls are forwarded to the correct colleagues
- Ensure that telephone messages are e-mailed to relevant colleagues when they are busy
- Notify team members of urgent matters needing attention on mobile numbers when absent from the office
- To chase ‘no show’ appointments to rearrange or obtain cancellation details as appropriate
Reception Duties;
- Meet and greet all visitors to the office
- Create and update candidate files on Influence for all new candidates
- Obtain relevant copies of required documents for all candidates upon arrival and before they are interviewed by the Consultant
- Uploading candidate photos onto Influence
- To prepare required documents for interviews for all consultants
Recruitment Administration;
- Check new candidates are not on Influence and phone them to arrange interviews for CG
- Phone all ‘old’ candidates to arrange interviews for CG
- Email the candidates who do not answer and the consultants of any been in before with summary notes for CG
- Adding and amending outlook calendar interview appointments accordingly
- Sending confirmation emails to all arranged interviewees requesting that they bring their passports, reference and all other relevant documentation
- Take full responsibility for CG’s candidates in ensuring the paperwork is scanned on the candidate’s influence file
- Send candidate CV to Debbie for typing when requested by Consultants
- Newbies – Obtaining, availability and compiling for CG’s candidates
- References - Obtaining, collating, journaling and awaiting approval for references for CG’s Candidates
Office Administration;
- The Administrator is expected to be flexible and undertake duties as required by Claibon
- File emails away daily to ensure easy reference to them later is needed
- Creating new temp packs as and when required
- Go through Temp Packs with candidates, after interviews
- Undertake any other adhoc duties as required
Post;
- All post to be delivered to Mail Box Etc. by 14:30 each day. When requested, use special delivery, first class, second class
- Open all post address to Claibon, except those stated private and confidential and pass to Claire immediately
The duties will include the following:
- The initial role will be very much based resourcing candidates. This will be speaking to existing and new candidates on a daily basis, finding out if they are looking for work, what they are looking for, how good the candidates are, if we have any suitable requirements on a permanent or freelance basis etc.
- Secondly it will be to build relationships with these candidates, they are always useful to have relationships for referrals, colleagues looking for work etc.
- To source new candidates, or gather names through various sources, such CV Library, Total Jobs and Social Media
- Generating new business
- Business development of new and existing clients and showcasing our company both over the phone and face to face
- To look after our Database – this is very important as it contains all our information on clients, candidates etc.
- Updating information on database and sourcing of candidates, clients and contacts. The Database is very important as it contains all our information on clients, candidates etc.

- General office
- Screening applicants via telephone interviews
- Maintaining communications with applicants
- Taking messages and passing these onto the relevant parties
- Manage the entire recruitment process from taking a vacancy through to placing a candidate in the job
- Use of ICT
