Job Description

Specific:




  • Checking company reports, letters and other documents ensuring that they meet company standards and criteria for structural, formatting and branding requirements (not technical content), insert documents as required and contact author with regard to any issues identified

  • Ensure appropriate data collection and collation of electronic versions of company documents as well as copying and binding of documents if required

  • Inputting of soil logs to Holebase for the operational team

  • Accurate filing of company reports, letters and documents



Team wide:




  • Appropriate completion of necessary internal documentation

  • To demonstrate an understanding and comply with Company policies and procedures

  • Booking of travel and accommodation for the business as required in line with accounting and company approval procedures

  • Answer phones in a polite and professional manner, monitor calls and direct them appropriately, accurately and timely recording and distribution of telephone messages

  • Greet visitors in a polite and professional manner and explain health and safety procedures in case of fire

  • The distribution of incoming post and the weighing, franking & recording of outgoing post

  • To post mail and as required take special and recorded letters or parcels to the post office

  • Booking couriers for collections and deliveries

  • Keeping printers and photocopiers stocked with paper and toner

  • Updating central calendar in relation to booking meeting rooms

  • Updating the ‘reception’ manual to reflect any relevant changes in processes or procedures

  • Share both knowledge and experience with other team members



To support the company administration function with other reasonable tasks as requested.

  • Experience of using Microsoft Office and Outlook, Adobe and the ability to learn the use of new software.
