We are looking for an efficient and self-driven Knowledge Management Intern with a desire to help coordinate and implement knowledge management best practices across our global business in an effective way. This role is key to support the creation of an innovative Intranet and Knowledge Management resource which aims to transform our business by providing our teams with quick easy access to all the information they need in a user friendly and engaging way.

Purpose:

As SHL transitions from a sever to a cloud-based knowledge management platform the role of Knowledge Management Intern will be instrumental in ensuring that our users get the support they need to ensure uninterrupted access to our intranet and the vital resources they need to complete their tasks.

This Knowledge Management Intern will support the successful co-ordination and implementation of all new knowledge management resources as well as supporting users from across the business, on a day to day basis, in the maintenance of existing sites. They will act as an advisor to scope out requirements and make recommendations based on these needs as to the best Office 365 application. They will play a key role in helping to expedite user adoption of Office 365 within SHL and will help to instil best practices across our knowledge management platforms.

Key Relationships:

Internal: Head of Learning & Development, L&D Project Support Specialist, Internal Communications Manager, IT - Senior Engineer & Operations Lead plus touchpoints from across the business on an ad hoc basis.

External: Third Party Vendors

Key Responsibilities:

  • Respond to ad hoc requests to upload documents to specific SharePoint libraries and maintaining the information and metadata associated with these.
  • Act as an advisor on where to best store files (SharePoint/Teams/Stream) and as a source of best practices for knowledge management and SharePoint usage.
  • Train users how to use SharePoint 2013 and Online and being available to answer any questions by email, phone or skype.
  • Create a SharePoint Knowledge Share in Teams to provide key users with a forum to self-serve and share information as needed.
  • Deal with ad hoc requests to create new sites, pages, libraries and lists within SharePoint 2013/Online:
    • Host scoping conversations to understand needs and requirements
    • Make recommendations on the best application to use and where this fits in with the existing architecture
    • Providing support with the implementation of this recommendation.
  • Work closely with the IT team to help support the resolution of any tickets relating to SharePoint and on occasion working with users to trouble-shoot their issues.
  • Supporting users with permissions requests helping them to restrict sensitive information as needed and supporting them with any questions.
  • Work closely with our Senior Engineer & Operations Lead to understand the current challenges of the transition from a server to cloud based solution in order to make relevant recommendations and informed decisions.
  • Keep up to date with the latest developments from our IT team and from transition project.

Qualifications/Requirements:

  • Experienced in using SharePoint 2013/Online and Office 365 applications.
  • A proactive attitude with strong organizational skills and the ability to prioritize tasks based on urgency and importance.
  • The ability to scope out requirements, asking the right questions to identify needs and then work to this brief.
  • Excellent written and verbal communication skills.
  • Excellent attention to detail, high levels of accuracy and quality as well as good team working
  • Excellent communication and interpersonal skills with the ability to develop and maintain collaborative working relationships and build strong networks.
  • IT Literate, with good knowledge of Microsoft Outlook, Word, Excel and PowerPoint
