Job Description

Core Duties and Responsibilities:




  • Maintaining and monitoring the practice appointment system

  • Process personal, telephone and e-requests for appointments

  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

  • Signpost patients to the correct service

  • Initiating contact with and responding to, requests from patients, team members and external agencies

  • Photocopy documentation as required

  • Data entry of new and temporary registrations and relevant patient information as required

  • Input data into the patient’s healthcare records as necessary

  • Manage all queries as necessary in an efficient manner

  • Maintain a clean, tidy, effective working area at all times

  • Monitor and maintain the reception area and notice boards

  • Support all clinical staff with general tasks as requested

  • Provide cover during staff absences

  • Scanning of patient related documentation and attaching scanned documents to the patient’s healthcare records

  • Complete opening and closing procedures as required

  • Support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

  • To maintain a good standard of appearance as befits the high standards of the medical centre

  • To represent the practice and partnership in a positive light

  • Strong team working skills whilst retaining a flexible approach to working

  • Excellent communication/organisational skills

  • Flexibility with hours and days worked

  • Ability to be flexible and a willingness to accept and contribute to change within the Practice

  • A willingness to undertake further training relevant to the post

  • Advanced computer skills/knowledge, including troubleshooting

  • Ability to learn new systems quickly

  • Flexibility of hours worked and duties

  • An understanding, acceptance and complete adherence to the need for strict patient confidentiality either verbally, with written information or when using any computer data.

  • An ability to use one’s own judgement, enthusiasm, resourcefulness and common sense to help resolve problems



Future Prospects :

There may be an opportunity for permanent employment upon successful completion of the apprenticeship.
