Job Description

A great opportunity to work within the support team of a large GP surgery. This is a varied administration role that will involve supporting three surgeries with administration within the IT department.


 


We are looking for an administrator that has a passion and interest in IT


 


Main Responsibilities



  • Carry out the function of scanning & coding documents to enable them to be available to the whole of the Practice Team in an accurate and timely manner via the computer system

  • With the assistance of the IT helpdesks and other system providers, provide IT Support to the whole practice

  • Carry out all duties in accordance with guidelines and protocols

  • Liaise with other members of the Primary Health Care Team and others as necessary to carry out the duties of the Post

  • Bring to the attention of the IT & Data Manager any anomalies or matters that the Post Holder would reasonably be expected to identify which impact on the data being recorded or the Practice in general

  • Bring to the attention of the IT & Data Manager problem areas, backlogs and areas of difficulty as and when they arise

  • Provide, where reasonable, cover during periods of holiday and/or absence to other members of Practice Administration Team



Administration



  • Maintenance of Pathology results

  • Registration Links – amendments and deductions of medical records

  • To produce and maintain Access reports and produce any other regular reports needed in future by the management team

  • Administering the Practices Online appointment registration process

  • When necessary assist the IT Manager with QOF and Enhance Services processes

  • To assist with providing appointment reminders using a Text Message Service

  • To assist maintaining our recall process to ensure patients are sent invites to attend their appropriate clinic

  • Ad hoc tasks relating to Patient Registrations



 IT Support



  • Monitor, maintain, troubleshoot, rectify or report computer network, servers, and UPS, workstations, printers, systems, touchscreen and  software problems including the Practice telephone system

  • Setup new users on all software used within the practice or use relevant helpdesks when necessary

  • Liaise with system supplier help desks (clinical and telephone systems) and IT support personnel

  • Set and monitor overnight system backups and implement restore procedures

  • Monitor electronic links with Gloucestershire Family Health Services and others as necessary.  Identify and rectify all rejections ensuring continuity and accuracy

  • Monitor and maintain Pathology and other links with Laboratories and other agencies and identify, rectify or report any problems that arise

  • Development and maintenance of the Practice Website and Intranet

  • Liaise with the Primary Care Trust on the management, acquisition and disposal of IT equipment

  • To arrange Toner and Drum Recycling

  • To maintain and update patient information system, including producing our own bespoke media

The successful candidate will be initially based at Kingsway Health Centre, Quedgeley but will be expected to work at any of our 3 surgeries, which also include Rosebank – Stroud Road & Severnvale Quedgeley. 


 


The Post Holder will be required to travel between these premises as necessary and will therefore be expected to provide his/her own transport (travelling expenses will be paid)


 


Qualifications required:


GCSE Grades 4 to 9 (A*- C) in maths and English or equivalent


plus 2 other GCSEs 3 to 9 (A* to D) in any other subject


 


37.5 Hours

Monday to Friday 8.30am to 5pm
