Job Description

Receptionist / Office Support (Part Time) - Crewe - 6 Months

POSITION SUMMARY
Reporting to the Office Facilities Manager, the primary role is to provide receptionist duties which will require excellent verbal and face to face communication skills as you will be the first point of contact with both employees and visitors, and will field incoming calls. Good computer skills will also be required to enable you to place orders for on-site consumables and preparing of delivery notes for couriers and postage etc. You will also be expected to complete some facility tasks during the normal day and undertake other additional duties of the Facilities Advisor when support is required.

Providing the day to day connection between the internal customers (including on-site tenants) and external visitors and services by providing front of house reception duties.

Nature and Scope:
Work closely with the Office Facilities Manager (OFM) and the Facilities Advisor (FA) ensuring that the services provided meet expectations.

PRINCIPAL ACCOUNTABILITIES
Work with the on-site team to provide a seamless and harmonious service to the 300 customers.
Ensure the on-site tenant relationship and reception requirements is maintained and supported.
Answer calls and support callers in obtaining the correct location for their enquiry.
Meet and greet employees, visitors, contractors and take deliveries etc., including use of the tannoy system.
Ensure safety and evacuation procedures are detailed to all new starters including procedures, Fire Marshals, First aiders etc. as part of the Welcome to pack.
Support the FA to complete daily inspections of the facility to identify and respond to any issues with the functionality of the building.
Take ownership of the postal duties, outgoing courier services and post including franking and delivery notes.
Take ownership of the photocopiers on-site, including loading of paper, checking consumable goods and instigating services/repairs as required.
Complete deliveries of other consumables around the building as required.
Monitor the Reception (non-personal) Outlook mailbox and action as required.
Take ownership of the meeting room booking system including support for lunch orders etc.
Review and allow access to staff, visitors, deliveries etc. through the new car park barrier system.
Support the OFM/FA in ordering of various consumables for the facility.
Support the OFM/FA in managing of on-site minor repairs including communication with approved vendors and on-site staff.
Any other duties required to assist in the running of the Facilities team.

MINIMUM REQUIREMENTS AND QUALIFICATIONS
1) Excellent communication and computer skills.
2) Able to work under own initiative and take ownership of the facility where required.
3) Be able to demonstrate ability to work as a team player and under own initiative as required.
4) Be able to demonstrate similar suitable experience.
5) Minimum of 5 GCSEs or other suitable qualification.
