Job Description

This individual will be trained to support the facilities team and will gain experience in:




  • Raising and closing maintenance job tickets

  • Setting the priority for job tickets

  • Allocating the job ticket to the appropriate person (internal) or supplier

  • Liaising with Integral or other external suppliers to complete the job within Service Level Agreement commitments

  • Using the Integral portal to follow up on progress

  • Organising supplier Engineer visits including availability of rooms for the job date

  • Preparing management statistics on performance of internal and external jobs

  • Understanding the Mechanical and Electrical hourly rates and ensuring these are applied correctly to the jobs undertaken

  • Reviewing the monthly unplanned maintenance charges

  • Attending the monthly contract review meeting with Integral & Servest and learning how to construct the meeting minutes

  • Participate in any process improvement projects (i.e. job ticket feedback analysis)

  • Order low value items ensuring price competitiveness, timely delivery & good quality or product

  • To produce letters, and update reports/spreadsheets as required

  • To provide cover for Mini Bus bookings when the Premises Officer is unavailable

  • To carry out other administrative duties as required



Tenders




  • Participate in preparation of tender specifications

  • Understand and participate in evaluating a tender

  • Run at least one local tender for goods and services (under direction of Manager)



Systems




  • Learn how to use Symmetry to place orders
