About the Role
An exciting opportunity has arisen for a proactive and organised Service Administrator to join a busy and close-knit service team based in Buckingham.
The role will initially focus on planning and scheduling pre-planned maintenance, working proactively with customers to arrange service visits up to six months in advance.
As you become established in the role, your responsibilities will develop to include managing incoming breakdown calls and emails, logging service requirements and coordinating engineer appointments around a busy and continually changing diary.
This is an excellent opportunity for someone with strong administration and customer service skills who enjoys working in a fast-paced environment and takes pride in keeping things organised and running smoothly.
Key Responsibilities
Plan and schedule pre-planned maintenance approximately six months in advance
Communicate with customers to arrange and confirm service visits
Progressively take responsibility for coordinating and scheduling Service Engineers to customer sites across the UK
Receive, record and manage customer breakdown calls and service requests
Monitor and manage engineers' diaries, adapting schedules as required
Generate quotations and invoices using internal systems
Respond to customer queries professionally and efficiently
Maintain accurate and up-to-date service records
Work closely with the wider service team to ensure customers receive a high level of service
About You
This role would suit someone with a strong administration background who enjoys working methodically, managing competing priorities and communicating confidently with customers and colleagues.
The successful candidate will ideally have:
Previous experience in administration or a similar office-based role
Experience of scheduling or planning is desirable
Good working knowledge of Microsoft Office applications
Excellent telephone communication skills
Strong customer service and relationship-management skills
Excellent attention to detail and organisational ability
Good numerical and analytical skills
The ability to remain calm and organised when managing a busy workload
A positive, enthusiastic and approachable attitude
Strong written and spoken English
