Our House and Events Co-ordinator

As House and Events Co-ordinator, you will be the driving force behind beautifully planned Yarlington House stays, taking confirmed bookings from handover through to guest arrival. With a sharp eye for detail and a passion for luxury hospitality, you will coordinate everything from itineraries, dining and transport to special requests, rooming details and operational briefings. This is a brilliant opportunity for a confident, organised and guest-focused individual who loves creating memorable experiences and bringing together multiple teams to deliver something truly special.


Key Responsibilities

  • Take ownership of the guest journey for confirmed Yarlington House stays following handover from the Sales Team.
  • Act as the key pre-arrival contact for guests, building relationships and understanding preferences.
  • Coordinate personalised itineraries, estate experiences, dining reservations, transport and special requests.
  • Gather guest details including dietary requirements, celebration information and stay preferences.
  • Produce and manage operational documents including itineraries, rooming lists, arrival schedules and handover notes.
  • Communicate guest requirements clearly to operational teams and lead briefings where required.
  • Support the planning and delivery of exclusive-use stays, events and group bookings.
  • Liaise with internal teams, suppliers and contractors to ensure every detail is compliant, organised and guest-ready.

What we're looking for

  • Experience within luxury hospitality, guest services, reservations, concierge or events.
  • Exceptional organisation, administration skills and attention to detail.
  • Confident communication skills, both written and verbal.
  • A warm, professional and guest-focused approach.
  • Ability to manage multiple bookings, priorities and guest requirements at once.
  • Strong IT skills, including Microsoft Office and booking or reservation systems.
  • A calm, collaborative and solutions-focused mindset under pressure.
  • Flexibility to support evenings, weekends and holidays when required.

The Yarlington House team is responsible for delivering exceptional and personalised guest experiences within one of the estate's most distinctive accommodation offerings. Working closely with Sales, Reservations, Guest Experience, and operational teams across the estate, the department ensures every stay is meticulously planned and executed. The House & Events Co-ordinator plays a pivotal role in transforming confirmed bookings into seamless guest experiences by coordinating every detail before arrival and ensuring operational teams are fully prepared to deliver an exceptional stay.
