Job Description

Vacancy Description



To provide comprehensive, effective and efficient reception and administrative support; ensuring the smooth running of the Federation.



Financial Support:




  • Ensure that all monies are handled according to Federation procedures.

  • Monitor school dinner money arrears and report to the Finance and HR Administrator.



HR Support:




  • Assist the Federation Business Manager in the management and induction of agency staff.



Health and Safety:




  • General awareness of health and safety.

  • Establish and maintain pupil fire register system, assist with fire drills.

  • Assist with the recording of health and safety incidents.



Reception duties:




  • Welcome and direct visitors and contractors.

  • Handle telephone, answer phone and email messages, directing as appropriate.

  • Receive and send post.

  • Deal with children arriving late and being collected early.

  • Develop knowledge of Children’s Centre provision, signposting visitors to groups and activities.



Administrative duties:




  • Manage and update records in the school information management system - SIMS, (including attendance, dinner money, contact information, pupil census).

  • Maintain effective filing systems.

  • Contact parents when necessary.

  • Coordinate parents evening appointments

  • General reprographic and administrative duties as required by the Senior Leadership Team.

  • Order and distribute school uniform when requested.

  • Assist with coordination of school collections and fundraising activities.

  • Assist with arrangements for school trips.

  • Manage meeting room calendars.

  • Send school texts and emails.



Other general duties:




  • Update notice boards.

  • Update electronic welcome board.

  • Maintain stocks of leaflets, welcome packs and other information.

  • Monitor stock and purchase office supplies.

  • Contribute to and circulate the Federation publications.



Other duties:



The postholder may be required to perform duties other than those given in the job description for the post. The particular duties and responsibilities attached to the post may vary from time to time without changing the general character of the duties or responsibilities entailed.  Such variations are a common occurrence and would not of themselves justify the re-evaluation of the post.  In cases however, where a permanent and substantial change in the duties of a post occurs, consistent with a higher level of responsibility, then the post would be eligible for re-evaluation.


Personal Qualities :

  • We are looking for a person with a friendly manner and smart appearance with some experience of dealing with the general public.

  • The candidate will need to have some IT skills and be able to navigate their way around Microsoft Office and outlook.

  • Customer service is something you really enjoy and you’re good at dealing with all sorts of people – face-to-face, on the phone or by email.

  • You’re a multi-tasker who can work well under pressure and uses initiative.

  • You like the idea of being part of a friendly team, working together and contributing to the success of our Federation.



Skills Required :

  • Effective communication skills.

  • Experience of working within a team would be advantageous.



Future Prospects :

  • The role of School Receptionist and Administrator with the possibility of a permanent role with the Federation on completion of the course.
