Job Description
- To be the first contact point in school, receive visitors and maintain the visitor log.
- Produce a range of documents from a variety of sources, using various software packages (e.g. outlook, excel, publisher and word).
- Responds to correspondence from both standardised and non-standardised information, e.g. acknowledgements, requests for information, school email.
- File documentations, after familiarisation with filing systems, in accordance with file location.
- Opens, sorts and distributes incoming post and ensures dispatch of outgoing post in a timely manner.
- Answers standard enquiries by telephone or in person from parents/pupils/community/ users/other employees, giving and resolving non-complex queries within areas of responsibility.
- Operation of office equipment, e.g. switchboard, visitor systems and photocopier.
- Input information into database (e.g. ScholarPack MIS) and/or spreadsheets, extract information as directed.
- Undertake routine cash handling duties, including receiving and recording payment (e.g. trips), issuing receipts and assisting with preparing for banking.
- To assist in the raising of invoices and to pursue outstanding payments where directed.
- Offer support in providing and organising refreshments for meetings.
- Provide information to school staff and the wider community as requested.
- To liaise between the school and community in administering and organise private lettings and community use of the premises.
- Be prepared to undertake professional development and training including whole school inset and any statutory or mandatory training specific to the role.
- Undertake any other duties which may reasonably be regarded as within the nature of the duties and responsibilities/grade of the post as defined, subject to the proviso that any changes of a permanent nature shall be incorporated into the job description in specific terms, following consultation with the Recognised Trade Unions.
Health and Safety:
- Carry out duties placed on staff by Health and Safety legislation.
- Adhere to all Health and Safety policies agreed by the Trust.
- Be aware of and adhere to C.O.S.H.H. Regulations (Control of Substance Hazardous to Health (Amendment) Regulations 1991.
- Complete online H&S training related to the role and after suitable training, assist in the development of routine risk assessments of all aspects of responsibilities cover in the job description.
