Job Description

Main activities and responsibilities for this post:




  • To provide efficient and effective administrative support to Administrative Services Manager and other relevant managers at specific times

  • To assist with queries from staff, students, parents and external stakeholders via phone, email and in person

  • To produce letters and other appropriate word processing work in support of 2.1 and 2.2 above

  • To apply the appropriate IT skills in the production and design of internal/external forms and documents as necessary, using the Microsoft Windows package (Word for Windows, Excel, PowerPoint, etc.)

  • To participate in general office duties such as sorting and distribution of mail and packages, ordering stationery. To carry out appropriate photocopying and scanning

  • To assist at cross-college events such as Open Event, Parents Evening, Graduation, interviews of potential students etc



General duties:




  • To assist in producing management information as and when required

  • Assist in ad hoc project work

  • To take notes of meetings as and when required

  • To maintain absolute confidentiality on all issues. To deal with issues in a discrete, calm and professional manner

  • To carry out any other comparable duties as required by the Lead Administrators or Administrative Services Manager

  • Good communicator

  • Show initiative and motivation

  • Organised



Skills Required :

  • Experience of working in an administrative capacity

  • Meticulous attention to detail

  • Ability to work to deadlines and prioritise tasks in a busy office environment

  • Experience of Microsoft Office at intermediate level and accurate data input onto a computerised information systems

  • Ability to use initiative in dealing with queries

  • Able to respond promptly to enquiries with discretion and maintain confidentiality at all times

  • Customer centric, possessing outstanding customer service skills

  • Ability to work well under pressure and flexibly and effectively as part of a team

  • Able to communicate effectively in writing with accurate spelling and grammar

  • Accurate numeracy in basic calculations

  • Understanding and proven commitment to Equality and Diversity, Safeguarding including Prevent and Health and Safety



Future Prospects : Progression to level 3 for the right candidate.
