Job Description

Job title: Operations Executive (OE)

Reports to: Operations Manager (OM) and Assistant Operations Manager (AOM)

Location: Head Office (HO)

Contract and remuneration:

1. 4 weeks with a possible extension

2. 42 hours a week

3. Half board and accommodation provided free of charge for all residential staff

Job overview:

The OE’s key responsibility is the collation and distribution of accurate information from agents and individuals to the centres regarding students - paying special attention to individuals - and working closely with Centre Management in order to achieve this. The OE must ensure that communication channels are open between HO, agents and Centre Management staff. The OE reports to the AOMs to ensure the smooth running of the centre including excursions, transfers, sport academies and special requirements.

Job tasks:

· Liaise with members of the Sales Team to obtain all necessary information about students and groups, from personal details to excursion requests

· Assist the Admissions Manager and/or Finance Department with confirming correct invoices

· Book airport transfers and coaches for excursions

· Book excursion destinations, museums, and sports facilities (for English + Sport students)

· Update Confirmation Sheets and monitor bookings on the Bedding List

· Update the Master List with all student and Group Leader information for each centre

· Communicate any special requests to the host staff and the Management Team at each centre

· Deal with issues from agents/host centres with the assistance of the AOMs

· Help Centre Management staff with any extra excursions that may be requested

· Maintain continuous communication with agents and individuals

· Be the main point of contact between the host centre management and HO

· Ensure all documentation is received from each host centre

· Responsible for cross checking invoices, final numbers and bedding lists

· Working additional weekend shifts including Office and Airport
