Job Description

Hospitality & Service

To ensure that hotel customers receive the very highest standard of service whilst using the hotel and its facilities.



To conduct show rounds in an informative and effective way in order to ensure sales are generated.

To be knowledgeable of all hotel facilities, services, events and special promotions and inform and sell these at every opportunity.



Communication

To assist with the preparation of the monthly ‘PR highlight’ report.



To assist with the preparation for 6 monthly group Marketing & PR meeting and highlight requirements for the next 6 months.



Work in conjunction with PR companies to try and gain the appropriate media coverage at all times.



Communicate internally any advertising taking place, new flyers, newsletter and PR highlights.



To cultivate contacts with regional news and media publications.



Assist Head of Marketing in conjunction with the General Manager, Elite Distribution Manager and Elite Marketing Department co-ordinate the relevant updates to the hotel website - detailing the diary of events, rates, and promotions.



To monitor and advise Head of Marketing on new web-based opportunities of potential merit.



To comply with all legislation concerning data protection and client/guest confidentiality.



Planning & Organising

To assist in the preparation of the following:

 hotel relevant mail shots

 hotel relevant promotional flyers

 hotel ‘Calendar of Events’ in conjunction with GM, DGM, F&B, Exec Chef, Sales

 hotel advertising

 all PR activity via our agencies.

 social networking content

 website content



To assist with the compilation of the hotel yearly Business Plan.



To assist with the planning, implementation and hosting of show rounds, familiarisation events, client/agent entertaining and exhibitions.



To ensure the Sales/Marketing Office is kept in a well organised and tidy state and the filing system is well maintained and up to date. Stationery and other office materials should be kept in adequate supply.



To ensure marketing collateral stock is accounted for and distributed sufficiently across relevant departments and public areas.



Any reasonable task as requested by the General Manager, Head of Marketing, Business Development Manager of Group Marketing Manager.





Health & Safety

To observe any Health & Safety notices and work in a safe considerate manner.



To follow fire procedures and regulations as laid down in the Hotel Fire Plan.



To be aware of the need to observe Health and Safety at Work Act regulations and advise Management of any irregularities.



To attend any Health and Safety and Fire Safety training as required by the hotel



Report any hazards or accidents to the Duty Manager.



Attention to Detail



To input new and maintain current accounts and contacts in Opera.



To maintain all mailing lists and mailing list codes in Opera.



Take minutes at meetings as required and follow with typed copy to be distributed to relevant personnel.

Ensure that all required websites are kept up to date with the latest information and offers and perform regular checks



Assistance with collation of statistics for budgets.



Maintain the highest knowledge of the hotel and its services.



A good knowledge Fidelio Opera, Excel, Word, PowerPoint and Outlook is required



The staff handbook should be read and all points adhered too.



Sales Opportunities

To take part in all training opportunities made available to you in order to maximise any opportunities for up selling and improving the business success of your department.



Research for potential new clients/agents and pass to Sales Manager.



Assist Head of Marketing in conjunction with the General Manager to organise the diary of hotel events to include (but not limited to) Corporate/Client familiarisation visits, Gourmet Dinners, Garden Open Days, Ladies Luncheons, Party Nights, Wedding Fairs and Musical Events.



To actively promote the Hotel and Restaurants by attendance at Chambers of Commerce and Tourists Board meetings, regional exhibitions and visitor attractions.



To identify all PR opportunities and record information with photography and provide brief report to Head of Marketing.
