Job Description

Purpose of Post



To support the Creative Learning projects team by providing a range of administrative and delivery support.



Providing particular support to the Film and Music Creative Learning programmes and Guildhall music undergraduate and postgraduate curriculum and projects.





Main Duties and Responsibilities



1. To act as a member of the Creative Learning division support team. To deal with correspondence and enquiries, distributing post, telephone answering, photocopying.



2. To assist with Creative Learning activities, projects and festivals (including Framed Family Club, London Children’s Film Festival, student events such as Dialogue and Curious, plus administration of Postgraduate course in Leadership), and to provide support for these events.



3. To assist on schools programmes, including Barbican Box, providing support for the officer, facilitator, and liaise with schools.



4. To assist the Creative Learning team on public programme events, on and off site, including Impossibilities, Young Orchestra for London, BFI Film Academy, Drum Works and others.



5. To update departmental databases, order stationary and filing



6. To maintain financial systems including purchase orders, invoices, and timesheets using CBIS alongside Creative Learning officers and assistant. To administrate expense claims for the department.



7. To assist with the development and maintenance of good working relations between the Guildhall School and the Barbican Centre and all project partners.



8. To provide high-level customer service and communications with internal and external clients, including students, staff, teachers, parents, carers and outside agencies



9. To attend Creative Learning events in the Centre: not obligatory, but is encouraged.

Personal Qualities : Arts knowledge/interest advantageous.

Music or Film knowledge/interest advantageous


Skills Required : We are looking for people who are passionate about developing a career in the Arts Learning sector



You should have good IT skills, and be able to use Word, Excel, Email and Internet



You should have had some experience of working on arts or arts educational projects – whether paid or unpaid, and as a leader or a participant
